Export Documents
Getting your goods out of Indonesia means more than booking a shipment. Every international export requires a specific set of documents, and missing or incorrect paperwork is one of the most common reasons shipments get held up at customs, either in Bali or at the destination. Our team prepares and coordinates the full documentation for your cargo, so you don’t have to navigate that process alone.
Transport Documents
Bill of lading
The Bill of Lading (B/L or BOL) is the core transport document for sea freight. Issued by the shipping line or its agent, it serves three purposes at once: it is a receipt confirming your cargo has been loaded, a contract of carriage between shipper and carrier, and a title document that gives the holder the right to claim the goods at destination. Without a valid B/L, your buyer cannot clear the shipment through customs.
Airwaybill
The Airwaybill (AWB) is the air freight equivalent of the Bill of Lading. Issued by the airline or freight forwarder, it accompanies the cargo from origin to destination and serves as proof of the contract of carriage. Unlike a B/L, an AWB is non-negotiable: it is issued directly in the consignee’s name, which makes releases at destination generally faster. When we ship your cargo by air, we handle the AWB as part of our standard process.
Commercial Documents
Commercial invoice
The commercial invoice is the primary financial document of your shipment. It records the transaction between seller and buyer: the description of the goods, quantities, unit prices, total value, currency, and the terms of sale (Incoterms). Customs authorities at the destination use it to assess duties and taxes, so it needs to be accurate and consistent with the rest of your documentation.
It is different from a proforma invoice, which is a preliminary quote. The commercial invoice is the final, binding document issued once the goods are ready to ship. In some cases, it can incorporate the packing list, depending on the complexity of the shipment.
Packing list
The packing list details exactly what is inside your shipment. It lists each item with its description, quantity, packaging type, dimensions, and weight — both per package and as a total. Customs authorities and destination agents use it to verify the cargo against the commercial invoice, so accuracy matters. If the packing list doesn’t match what’s in the boxes, it can trigger an inspection or delay clearance.
Compliance Documents
Pemberitahuan Ekspor Barang (PEB)
The Indonesian customs export declaration. This is a mandatory government document for every export from Indonesia, filed through the Customs system (CEISA). It arguably deserves its own entry, or at least a mention here (even if the customs page covers the process).
Certificate of origin
The Certificate of Origin (COO) certifies that your goods were produced, manufactured, or processed in Indonesia. Most destination countries require it for customs clearance, and it can also determine whether your shipment qualifies for reduced import duties under trade agreements.
In Indonesia, the standard Certificate of Origin is called the SKA (Surat Keterangan Asal) and is issued by the local trade office (Dinas Perdagangan). For exports to the European Union, the relevant document is the REX certificate (Registered Exporter), which operates under the EU’s GSP preferential tariff scheme and can entitle your buyer to lower import duties.
We advise on which certificate applies to your shipment and handle the application on your behalf.
Certificate of Fumigation
Fumigation is a treatment that eliminates pests, insects, or microorganisms from your goods or packaging. It is required for many wood-based products, including wooden furniture, handicrafts, and wood packaging materials (under the ISPM 15 international standard). The certificate, issued by a licensed fumigation operator, confirms that the treatment was carried out correctly and is often a mandatory attachment to your customs documentation. We coordinate fumigation through certified partners and include the certificate in your export file.
Phytosanitary Certificate
A phytosanitary certificate is an official government document issued by the Indonesian Ministry of Agriculture (Kementan). It certifies that your goods have been inspected and are free from pests and plant diseases that could affect agriculture in the destination country. It is required for a wide range of products that Bali regularly exports: wood, rattan, bamboo, dried flowers, plant-based handicrafts, and certain food products. Many destination countries will not allow these goods to clear customs without it.
